Reporting on Installs, Commissioning and Handover

Progress, commissioning, handover and aftercare reports for installation contractors: what each reader needs and how to produce it from records captured during the work.

Reports on installation projects serve very different readers. The customer wants proof that what they paid for is installed, tested and documented. The operations manager wants to know which jobs are stuck and why. The service team wants to know what is out there, where, and when its warranty ends. A single "project report" rarely satisfies any of them.

This article breaks installation reporting into the questions each reader is actually asking, with examples from commercial solar PV, battery storage, EV charging and building services, and shows how Integrio produces each from records created during the work.

Start from the question, not the template

Before building any report, write down the question it answers. For installation contractors, the useful questions tend to fall into four groups.

  • Progress. What is installed, what is left, and what is blocking the rest?
  • Commissioning. Has every product been tested, did it pass, and where is the evidence?
  • Handover. Does the customer have everything they need to own and operate the system?
  • Aftercare. What have we installed for this customer, what is under warranty and how are we performing on service?

Each group draws on different records. The common thread is that if those records are captured against products and tasks during the work, reports are assembled rather than written.

Progress reporting during installation

Progress on an installation is best measured in products and tasks, not percentages typed into a status field.

Products installed versus planned. When each product on a project has a record, installed status is a count, not an estimate. A charger project with sixteen chargers has a clear answer to "how many are in?".

Tasks by stage. Kanban boards in workflows show every task across projects by stage. The report you need on a Monday morning is often simply the board filtered to blocked or overdue tasks.

Deliveries. Delivery schedules show what has arrived, what is outstanding and which orders are flagged incomplete. A shortage report before a crew is booked is worth more than any retrospective.

Snags. Snags filtered by status, assignee or deadline show what is holding back completion. See snagging.

Time. Time sheets recorded against projects show where labour went, which feeds straight into costing. See time sheets.

The discipline is to report on the same few measures every week, from live data, rather than preparing a fresh narrative each time.

Commissioning reporting

Commissioning reports answer a narrow question: was every item tested, and what were the results? That means a report at product level.

For solar work, the MCS standard MIS 3002 issue 6.0 includes a model PV array test report with results per string, including open-circuit voltage, short-circuit current, polarity, insulation resistance and the inverter's make, model and serial number. Battery and charge point commissioning produce equivalent per-unit records from manufacturers' procedures and your own method.

A good commissioning report therefore:

  • Lists every product that required testing, with its serial and location
  • Shows the recorded results, not just a pass or fail tick
  • Includes the evidence: photos of meter readings, labels and completed installations
  • Names who carried out the test and when
  • Highlights anything outstanding

When product testing forms are attached to products and mandatory fields are enforced before sign-off, the "outstanding" section is short, because the project cannot close with gaps. Integrio produces company-branded reports that can be exported as PDF.

Handover reporting

Handover is where reporting is most visible to the customer and where gaps cause the most friction. MIS 3002 issue 6.0 sets out what a solar handover must include for MCS work: a document pack with copies of the forms and checklists used to commission the system, maintenance requirements, manufacturer manuals and warranty details, plus a signed handover document including a list of key components installed and a recommended interval for the first periodic inspection. It also requires handover documents to include the checks customers should carry out themselves, how often, and what to do if they find a problem.

Even outside MCS, that list is a sensible model for any commercial handover. Integrio's project sign-off tools generate a completion package that can include completion certificates, final inspection reports, snag lists, photos, warranties, operation manuals and any other documentation you specify. Customers can then access handover documentation through a secure client portal after sign-off.

Two points make handover reports reliable:

  • The component list comes from product records. If serials and models are held as data points, the list of key components is generated rather than transcribed.
  • Sign-off status is visible before the customer meeting. A real-time view of which sign-off requirements are complete and who has approved stops a handover meeting turning into a list of outstanding items.

For the wider approach to handover, see the digital project handover guide.

Aftercare and service reporting

After handover, reporting shifts from projects to installed products and customers.

Installed base. Installed products can be searched and filtered by customer, site or space, with their history, data points and related helpdesk tickets. Inventory reports can be exported in one click. When a manufacturer issues a firmware advisory for a charger model, this is how you find every affected unit.

Warranties. Warranty periods and service agreements are tracked, with alerts when warranties approach expiry.

Service performance. Helpdesk reporting tracks response times, resolution rates, customer satisfaction and team performance, and SLA compliance is monitored against the response times you set for each customer. See helpdesk and aftercare.

Maintenance. One-off and recurring maintenance visits are scheduled and their completion tracked, giving a history per site.

For operations and maintenance contracts on solar and battery sites, this is the evidence you need at contract renewal: what was visited, what was found and how quickly faults were resolved.

Getting the data out

Not every report belongs inside Integrio. Finance teams may want project cost data in the ERP; a customer may want commissioning data in their own asset system. Forms support database connections, APIs and webhooks, and ERP integration moves project and product data into your existing systems. Snag reports can be exported as PDF or Excel.

Building a reporting routine

  • Pick one report per reader: a weekly progress view for operations, a commissioning report per project, a handover pack per project and a monthly service summary.
  • Make sure each report draws on data captured in the work, not re-entered afterwards. If a report needs a field nobody records, add it to the relevant form.
  • Brand the customer-facing ones and keep the internal ones plain.
  • Review after a few projects. Remove anything nobody reads.

The measure of good installation reporting is simple: nobody should have to spend a day assembling a report from information that already exists somewhere in the business.
