What is project handover software?
Project handover software records the end of a job: defects and their close-out, the client's acceptance, and the documents the client keeps. Some contents are set by rules, such as the MCS solar PV document pack, the CDM health and safety file and regulation 38 fire safety information. The software organises them; the duties stay with the people named.
Last updated . Facts checked on 30 September 2026 against MCS MIS 3002 Solar PV Systems, issue 6.0, CDM 2015, regulation 12, Building Regulations 2010, regulation 38 and GOV.UK: the golden thread.
Why does handover drag on after the work is finished?
The engineers have moved to the next site, the snag list lives in one place, the photos in another, the commissioning sheets are in the van, and the inverter and battery warranties are attached to emails from suppliers. Somebody in the office assembles the pack from memory, the client signs off weeks late, and the first fault report arrives with no link back to what was installed.
Open snags nobody can see
Defects noted on paper or in a group chat are hard to assign, chase or prove closed, so sign-off waits on a list nobody trusts.
A pack assembled at the end
Photos, test sheets and manufacturer documents are gathered after the team has left, and gaps only show when the client reads it.
Aftercare starts from nothing
When the client calls with a fault, the helpdesk cannot see what was installed, what was snagged or what the warranty covers.
How does a digital handover run in Integrio?
01 · Snag and close out
Log each defect on site with an annotated photo, location and priority, assign it, and track it through open, in progress and resolved.02 · Collect sign-off
Walk the client through the finished work and take their digital signature on the device, adding further approvers where the project needs them.03 · Issue the handover pack
Generate a branded report from the project: snag history, photos, inspection results, completion documents and attached manuals and warranties.04 · Carry on into aftercare
Give the client portal access to their documents and a way to raise tickets, then schedule maintenance visits and watch warranty dates.Build your next handover pack straight from the project record.
What should project handover software do?
Handover is the point where site data becomes client information. The tools below are the parts of Integrio that carry a project across that line without retyping anything.
✓Snag lists with evidence
Photos with markup, location tags, priority and category, geotagged and timestamped, exported as PDF or Excel or shared by email.
✓Assignment and reminders
Send snags to the subcontractor or engineer responsible, with notifications when they are assigned or updated.
✓Multi-party sign-off
Require approval from the client, contractors or inspectors before a project is marked complete, and see who is still outstanding.
✓Branded handover packs
Company branded reports that pull in snag lists, photos, inspection reports and completion documents, shared as a PDF or secure link.
✓Documents the client can find
Upload manuals, warranties and drawings into the project folders and make them available through the customer portal after sign-off.
✓Helpdesk on the same record
Support tickets, per-customer SLA response times, scheduled maintenance visits and warranty expiry alerts for the systems you handed over.

Handover information named in UK rules and guidance
Which of these apply depends on the project. None is satisfied by software alone, but each is easier to meet when the information has been kept in one place throughout the job.
| Source | What is handed over | Who, to whom | When |
|---|---|---|---|
| MCS MIS 3002 (solar PV up to 50kWp, MCS contractors) | Copies of the commissioning forms and checklists, maintenance requirements and the customer's own checks, manufacturer manuals and warranty details, incentive scheme paperwork, and a signed document listing the key components, estimated performance and first periodic inspection interval. The MCS Certificate follows within 10 working days of commissioning | MCS contractor to the customer, provided and explained | At handover |
| CDM 2015, regulation 12 | The health and safety file: project information likely to be needed to keep people safe during any later construction work | Principal designer (or principal contractor where there is no principal designer) to the client | At the end of the project |
| CDM 2015, regulation 4 | The same file, kept up to date and available for inspection | The client; passed on to anyone who acquires the client's interest in the structure | After handover, for the life of the structure |
| Building Regulations 2010, regulation 38 (England and Wales) | Fire safety information on the design, construction, services, fittings and equipment, to help the building be operated and maintained with reasonable safety | The person carrying out the work to the responsible person under the Fire Safety Order | No later than completion, or occupation if that comes first |
| Building Safety Act golden thread (higher-risk buildings in England) | Building control application and completion information, the completion certificate, access to the building information, and fire safety information | The client to the principal accountable person or accountable person, and to the Responsible Person | When the building work is finished |
| BSRIA Soft Landings (voluntary framework) | Not a document list: a process with pre-handover, initial aftercare and extended aftercare phases | The project team with the client and building users | Before handover and continuing after it |
Regulation 38 applies where the work erects or extends a building covered by the Regulatory Reform (Fire Safety) Order 2005, or is a relevant change of use, and Part B applies. The golden thread applies to buildings at least 18 metres or 7 storeys high with at least two residential units, and to hospitals and care homes meeting the height test. Check the sources for the full wording.

What goes in an MCS handover pack for solar PV?
+
MCS MIS 3002 (issue 6.0) says the pack includes copies of all forms and checklists used to commission the system, the maintenance requirements and services available, manufacturer manuals and warranty details, and any incentive scheme paperwork. At handover the installer explains it and gives a signed document with the client and site details, the key components installed, the estimated performance and the recommended first periodic inspection interval. The MCS Certificate follows within 10 working days of commissioning. Integrio assembles the pack from the project; it does not issue MCS Certificates.
What should a construction handover pack include?
+
It depends on the contract and the building, but a pack commonly carries the closed snag list, final inspection and test results, an as-installed equipment list, O&M manuals, warranties, drawings and the client's sign-off. UK rules add specific items on some projects: CDM 2015 requires a health and safety file to be passed to the client at the end of the project, regulation 38 of the Building Regulations requires fire safety information to go to the responsible person where the building falls under the Fire Safety Order, and higher-risk buildings in England carry golden thread duties.

Does using handover software make us compliant with CDM or the golden thread?
+
No. The duties sit with the people the regulations name: the principal designer and principal contractor for the CDM health and safety file, the person carrying out the work for regulation 38 fire safety information, and the client and accountable persons for the golden thread. Integrio can hold, organise and share the information those people prepare, and keeps a dated record of who did what, but whether a project complies depends on the content and on those dutyholders.

Do you have a handover checklist template?
+
Yes. The checklist on this page is a starting point: snag close-out, final checks, test results, equipment and serials, O&M manuals, warranties, maintenance checks, drawings, training and client sign-off. Recreate it in the Integrio Form Builder with conditional logic and mandatory fields, or upload the checklist you already use and rebuild it there.
Does Integrio write the O&M manual?
+
No. The operation and maintenance manual is made from manufacturer and designer documentation that Integrio does not author. You upload those files to the project and Integrio includes them in the completion package alongside the snag list, photos, inspection reports and sign-off it has recorded.
Does it work offline on site?
+
Yes. Snags, photos and sign-off can be captured without signal, for example on roofs, in plant rooms or in basements, and sync to the project automatically once the device reconnects.
Can the client see the handover documents after sign-off?
+
Yes. Reports can be shared as branded PDFs or secure links that open without an app or login, and the customer portal lets the client access their documentation, raise support tickets, track them and view service history.
How much does project handover software cost with Integrio?
+
Integrio is priced per user. Field Service User, at £15 per user per month (£12 billed annually), includes snagging, forms, the sign-off process and offline mode. Office User, at £65 per user per month (£52 billed annually), adds company branded reports, file folders, the form builder, workflow automations and the support helpdesk needed for the full handover and aftercare process.
